Vareno AI collects information to serve advanced technological purposes:

  • AI Training: Utilizing data files (PDF, Docx) and website URLs provided by you to build a unique “Knowledge Base” for your specific Bot.

  • Authentication & Administration: Managing Dashboard access rights and API integrations.

  • Response Optimization: Analyzing chat history to improve the AI’s accuracy and linguistic style over time.

  • Automated Lead Generation: Storing customer information (Name, Phone, Email) collected by the AI during consultations to sync with your business database.

2. Scope of Information Collection

We only receive data that directly serves the operation of the Chatbot:

  • Knowledge Sources: Website content, professional documents, price lists, and customer service workflows that you proactively upload to the system.

  • Interaction Data: The content of conversations between customers and the AI Assistant.

  • Technical Data: IP addresses, browser types, and interaction timestamps to prevent spam bot attacks and ensure system stability.

3. Commitment to Data Security & Privacy

This is the core of our AI service commitment:

  • No Knowledge Sharing: Vareno strictly guarantees that the knowledge base of Company A will never be used to generate responses for Company B. Each AI “brain” is completely isolated.

  • Data Encryption: All conversation data and uploaded documents are encrypted using HTTPS standards and stored on highly secure servers.

  • User Control: You retain the right to delete all training data or chat history at any time through your Admin Dashboard.

4. Storage Period

  • Training Data: Stored throughout the contract term to maintain the AI Assistant’s functionality.

  • Customer Leads: Stored indefinitely or until a deletion request is made by the business to ensure you never miss a business opportunity.

5. Google Data & Third-Party Policy

When integrating Vareno AI with Google Calendar, Sheets, or Gmail for workflow automation:

  • Minimal Access: We only request read/write permissions for the specific files you designate.

  • No Ad Mining: Data from these services is used solely for the Chatbot’s automation features and is strictly never used for advertising or sold to third parties.

  • Data Accuracy: The business is responsible for the content fed into the AI. Vareno is not liable for incorrect AI responses resulting from inaccurate input sources.

  • Account Security: The business is responsible for securing Dashboard credentials to prevent unauthorized access to customer conversation data.
